Position Summary: Primary function is to support senior level Cosmetic Ingredients business development team. Position will fulfill a multitude of duties to support administrative details of after sales support. These include but not limited to entry of customer requests - sample entry, presentations and documents, contract mapping, SAP input etc. The ultimate goal is to coordinate our brand accelerator team. In this capacity, the coordinator will report to the Business Development Director. Essential Functions: Sales Support * Static support- enter pricing, send power point docs, samples, etc. * Dynamic Support - Be the go-to sales service person for above accounts. Get to know key contacts, participate in calls. Follow up on customer queries. * Be the backup person in Business Development Director absence. * Enter Pace Regulatory as necessary * Interact with AR to rectifying billing issues * Follow up with Quality management to insure that proper communicate of resolution is performed for customer quality complaints and same with supply chain team. A. Facilitates internal development work for Business Development Director, ensuring critical deadlines are met and the work is completed in a timely, complete and high quality manner. Responds to customer inquiries, as necessary, makes judgment on manner of resolution and ensures timely follow-up on all customer issues. B. Organizes customer presentations, ensuring the correct personnel are invited, notified, rooms are booked, materials ordered and sent, marketing and evaluation are informed and all meeting details are attended to, within the guidelines set forth by the appropriate executive. C. Processes and coordinates all necessary documentation for client submissions, including but not limited to regulatory, safety, quality and additional paperwork that might be demanded by the client. D. Acts as the complete backup to the Business Development Director, able to function in all levels, in case of absence or while the BDD is traveling. Maintains master pricing data in SAP/Notes. E. Prepares all data/documentation and marketing descriptions to accompany prototypes submissions. Ensure Criteria of Customers Specifications are met. Final "eyes" on everything being submitted to the customer and need to verify all requirements are adhered to. F. Inputs all necessary information via TEAMS or PACE to ensure clients demands are met, locally and globally. Responsible for all sample requests. G. Generates Sales Reports in EIS, completes input of quarterly forecast H. Processing / Generating paperwork - Work in Doc Requestor, SAP, PARCOM, EIS and assist with forecasting Knowledge and Experience Requirements: * B.A./B.S. Degree required * Must have 3-5 years' experience in a sales/coordination role * Personal Care industry experience preferred Skills & Abilities: * Must have excellent communication skills. * Ability to work with others. Must have entrepreneurial spirit. * Must be a team player and create good internal working relationships to ensure the client's deadlines and needs are efficiently met. * Willingness to learn and grow within the company. * Must have a sense of urgency and excellent customer focus. * Ability to multi-task and demonstrate self-initiative. * Good follow-through skills a must. * Must be detail oriented and proficient in Microsoft Office (Word, Excel, PowerPoint).
